Privacy & collection notice
Your enquiry.
Handled with purpose.
Updated 15 September 2026. ZeroEmi Holdings Pty Ltd (ABN 66 701 784 947), Port Macquarie NSW 2444, operates this website. Contact our privacy team at hello@zeroemi.com.au.
What we collect and why
When you submit an enquiry we collect your name, email and any company, phone, region, fleet, operation, transition stage and message you provide. Calculator enquiries include your current inputs and results, recalculated by our server. If you separately request a calculator PDF, we record the request and use Resend to email it to your supplied address. Reports are retained in private Supabase Storage with their source record and integrity metadata; delivery status is recorded. Internal notifications link authorised staff to the private portal without customer attachments. We record the source page, submission time, enquiry receipt, privacy notice version and your separate marketing choice.
We use this information to respond, understand your operational or project needs, arrange requested follow-up and manage that relationship. Name and email are needed for a form response; other business details are optional. Without a contact address we cannot send a requested report or reply by email. Please do not provide customer manifests, identification documents, passwords or sensitive financial or personal information through a public form. You can also contact us directly by email.
Marketing is optional
Submitting an enquiry does not subscribe you to marketing. The optional checkbox is not preselected. If you opt in, we may send ZeroEmi updates; you can withdraw by emailing us or using the unsubscribe facility in a marketing message. We may still respond to your enquiry or send a report you requested when you do not opt in. Marketing permission, report delivery and aggregate-demand permission are separate choices.
Where submissions go
Enquiries are stored in ZeroEmi’s private operations system using Supabase; Vercel hosts the website. Authorised ZeroEmi administrators can review enquiries and follow-up notes. Access is restricted and information is not published as a public operator directory. We use Cloudflare Turnstile to reduce automated submissions and Resend for requested reports. Hosting, security and email providers may process technical and submitted information outside Australia, including in the United States, under their service arrangements. Hosting location alone does not determine all processing locations. Contact us for current provider and country details.
We may disclose information to providers who help operate these systems, with your direction to a relevant partner, or where legally required. We do not sell enquiry data. An enquiry does not authorise sending your details to a lender or a courier for an unrelated purpose.
Technical data and local use
Hosting and security services may process IP addresses, request information and browser signals. The enquiry service uses a hashed network identifier for short-term abuse limits. The website requests fonts from Google. The site does not add advertising analytics or marketing cookies by default. Calculator changes stay on the page until an enquiry is submitted. External navigation, email and programme links take you to other providers.
Field Kit baseline assessments
The secure Field Kit records business/contact and depot details, vehicle groups, regular routes, fuel costs, priorities and transition intentions. It records your collection acknowledgement, report-email request, optional marketing choice and optional anonymised aggregate-demand permission separately. If you record an expression of interest, it also records the displayed terms version, confirmed name, authority acknowledgement and any optional handwritten signature.
Assessments are shared with authorised ZeroEmi platform administrators and linked operator owners/admins for assessment and follow-up. A baseline report and, where recorded, a separate non-binding interest document are generated from the saved information and retained privately. Original documents from earlier signed agreements retain their own terms and are not replaced by these reports. When requested, Resend processes the contact email and attached report; email provider status is recorded. An assessment does not determine grant eligibility or guarantee a commercial outcome. Corrections can be recorded in a revised assessment without silently rewriting earlier reports.
Regional EV and charging evidence
Optional aggregate-demand permission supports regional EV and charging planning; it does not authorise sharing identifiable customer, driver or delivery records. The portal’s EV evidence register has a separate operator-admin choice to share limited category/status counts with ZeroEmi. That restricted summary excludes identities, addresses, notes and business values and withholds groups with fewer than five operators.
Removing names or combining records does not by itself make information anonymous, particularly in a small region. Before any external research, project or funding disclosure, its purpose, permitted scope, recipients and re-identification risk need to be reviewed. Participation in an assessment or offer does not give ARENA, a financier or another partner general access to your workspace and does not establish funding, approval or eligibility.
A separate owner/admin opt-in can allow a restricted regional preview of counts of courier jobs created, wholesale orders created, first removals handovers and completed workflows after opt-in. It records the chosen broad region, administrator, notice version and decision time. Regions are NSW Mid North Coast, other NSW or other Australia; no address is inferred. Each measure for a completed calendar month requires at least five participating operators. Withdrawal excludes the operator from future previews. This permission does not authorise external publication and is separate from Field Kit and EV evidence permissions.
Operator portal and driver information
The operator decides the purpose and authorised use of its operational records; ZeroEmi provides the configured software service. Records can include delivery addresses and recipient contacts, driver and crew details, photos and signatures, removals surveys and property access instructions, wholesale orders and returns, and versioned custom workflow answers. Operators are responsible for their notices, necessary permissions and access choices. Account, subscription, security and support records also serve ZeroEmi’s own relationship with the operator.
Enabled source connections can import customer and order data and send delivery outcomes back to the authorised source. Routing sends relevant addresses to the configured maps provider. Business email sends selected recipients, content and attachments through the configured SMTP, Google, Microsoft or verified-domain provider; it does not read the operator’s inbox. PDF text extraction and OCR for manifest review run in the browser; approved rows are then submitted to the operator’s private workspace.
ZeroEmi Driver may keep assigned work and unsent evidence on a device for offline use. Drivers can separately choose active-run location sharing and generic work-update push notifications. Mobile location sharing requires device permission, can operate in the background during that sharing session and can be stopped in the app. Temporary dispatch positions are distinct from location attached to retained delivery evidence. Public enquiry consent does not replace operational notices or driver permission choices. Read the portal privacy notice for device, support-access, connection and retention details.
Retention, access, corrections, deletion and complaints
We retain enquiries only as needed for the relationship, legitimate record-keeping and legal obligations, and review inactive records. Records, reports and consent history may need to be retained for different purposes; there is no single automatic deletion period for all records. Removing a portal record cannot recall an emailed attachment or provider/recipient copy. Backups require separate handling.
Email hello@zeroemi.com.au to request access, a copy or available export, correction or deletion, or to withdraw marketing or aggregate-demand permission. We may need to verify your identity or authority and clarify the records involved. Contact the relevant operator about its work records; we can help route a request. Requests are reviewed individually, including legal retention needs, other people’s information, backups and sent copies. If we cannot action a request, we will explain why and the available next steps.
For a complaint, describe your concern and relevant enquiry, assessment or operator to the same address. We will review the concern, investigate the relevant handling and respond with the outcome and next steps. You can also contact the Office of the Australian Information Commissioner.
